PRIMARY PURPOSE

The purpose of this position is to provide support to the Human Resources Compensation and Records Specialists in all areas related to employment of staff. Functions include generating reports; entering payroll data; tracking multiple documents; producing correspondence; interacting with all levels of staff and providing general support.

 

ESSENTIAL JOB DUTIES

Include the following:

 

  1. Enter, update and track records to ensure all staff in assignments requiring certifications and endorsements or licenses possess valid credentials.
  2. Enter data from transcripts and clock hour forms; verify data entered by Compensation Specialists related to these documents.
  3. Produce correspondence, memoranda, forms, flyers and reports from Compensation Specialists knowledgebase or from information written or dictated by others; proofread, edit, duplicate, and distribute various documents.
  4. Produce requested ad hoc reports, which may involve the synthesis of data from multiple sources/software applications.
  5. Answer and screen incoming calls; provide information or route callers to appropriate staff; take messages as necessary and forward to appropriate staff; receive, sort, and route incoming mail.
  6. Enter, update, and track certificated employee contracts provided by Human Resources.
  7. Retrieve information from the HR/Payroll database and report it, as authorized, to employees and organizations outside of the school district.
  8. Maintain regular attendance; adhere to board policy and the mutually bargained leave and attendance terms as stated in the collective bargaining agreement.
  9. Assist other Human Resources staff in screening calls, relaying messages, filing and copying documents, completing training registrations, and staffing front desk.

 

 

WORKING RELATIONSHIPS

Reports to Compensation Specialists. Interacts regularly with departmental staff, administrators, support staff, and other district employees. Interactions with individuals outside of the district include frequent contact with staff at the Washington State Office of Superintendent of Public Instruction (OSPI) and various lending agencies.

 

WORKING EVIRONMENT

The working environment characteristics described here are representative of those an employee encounters while performing the essential functions of the job. The usual and customary methods of performing the job’s functions require: sitting, walking, standing lifting, carrying, pushing and/or pulling, fine finger dexterity. Visual and mental concentration on details, dexterity, and precision required.

 

QUALIFICATIONS

Must demonstrate a successful level of the knowledge, skills, and abilities listed below:

 

  1. Knowledge of information system database or other computer application of comparable complexity.
  2. Ability to produce accurate written documents.
  3. Ability to operate and trouble-shoot office equipment and machinery including personal computers, copiers, printers, scanners, facsimile machines, microfiche, and telephone equipment.
  4. Ability to operate computer including advanced applications using word processing, spreadsheet, database, presentation, and specialized software.
  5. Ability to maintain timely, accurate, and efficient record keeping, including preparation of reports from office records and produce accurate work products.
  6. Ability to learn new operations, procedures, processes, and use of new equipment.
  7. Ability to organize, coordinate multiple activities, set priorities, and work effectively under pressure, while complying with established timelines for each assigned activity.
  8. Ability to work effectively and efficiently in an environment of rapidly changing requirements and multiple demands.
  9. Ability to exercise sound independent judgment, including appropriate handling of sensitive and confidential matters.
  10. Ability to establish and maintain effective working relationships with students, staff, parents, and the general public.
  11. Ability to work independently with a minimum of supervision.
  12. Ability to communicate effectively.
  13. Excellent human relations skills.
  14. Ability to effectively work with a significant population of diverse individuals and/or groups.

 

Education and Experience

High school diploma/GED or equivalent educational experience and three years of increasingly responsible secretarial experience are required; additional related or specialized training desirable; or any combination of experience and training which provides the applicant with the knowledge, skills, and ability required to perform the work.
